Plan Review Process
The planning department is excited to share with you our new plan review process. While we review class plans every month, this is an additional step we are employing. The purpose of these in-depth reviews is to ensure your client's plans reflect goals and standards that are achievable and critical to the client's success. We want to open a dialog about the client’s needs and how our plans can best serve the client’s financial objectives.
The reviews are initiated by Management One and there are three types of reviews we will be performing:
- New Client Reviews
- Performed after the first 3 months of service.
- Annual Reviews
- Completed yearly close to the anniversary of the client’s onboarding with Management One.
- “At Risk” Reviews
- Based on the last 4 months of performance to plan.
- We consider the client “at risk” for one or many reasons.
- Cash Flow Issues
- Non-Compliance
- Poor Sales
- Other Significant Performance or Plan Issues
- “At Risk” reports are run monthly.
- Once a client is considered “At Risk”, they will be reviewed on a quarterly basis until they no longer meet the “At Risk” criteria.
The process will be as follows:
- A support ticket will be emailed to you with a list of the clients to be reviewed the coming month.
- We will ask for initial feedback regarding the clients on the list.
- We will also want to know the clients’ opportunities, struggles, and financial goals.
- The planner will research the client:
- Website, if applicable
- Social Media, if applicable
- Any support tickets in progress or that were completed in recent months to ensure requests for adjustments made are left intact.
- Hubspot notes and comments
- The plan review will consist of the following:
- Annual Rate and model review
- Unlocking or locking of classes
- Review of markdowns, turns, and IMUs
- Ensure alternate IMU settings are in place where needed.
- Adjustments will be made to the plan as needed.
- The planner will then reach out via a dedicated support ticket containing a single client’s findings.
- Fact finding from the data.
- Asking questions about the data or individual classes if more clarification is needed.
- Summary of the client’s performance and compliance to plan.
- Explanations of changes made to the plan and most importantly the why’s from a planning perspective.
- Retail Experts will be asked to review the updated plan and reach out should any additional changes be necessary or if they have questions for the planner.
The planning team has been conducting reviews and fine-tuning the process since October. We appreciate the feedback we have received on the reviews conducted and have taken the time to incorporate many of your requests into our process. To date, we have reviewed about 25% of our client base. We can send you individual lists of which clients have been reviewed over the last four months - please submit a request to Support if you would like the list of your clients that have been reviewed. We firmly believe in our plans and want to ensure your clients receive plans that help them achieve their financial goals. You asked and we listened.
