Why You Should Archive, Not Delete

Overview

When managing your product catalog in Shopify, it's important that you do NOT delete product types or products.

Deleting removes valuable historical data, which can cause inaccuracies in your Management One reporting.

Instead, archive products you no longer wish to display.
Archiving removes items from your online store but preserves product data—keeping your history intact for planning and reporting.


How to Archive a Product

On Desktop:

  1. From your Shopify admin, go to Products

  2. Click the product you want to archive

  3. On the product details page, click Archive product

  4. Confirm by clicking Archive product again


On iPhone:

  1. Open the Shopify app and go to Products > All products

  2. Select the product you want to archive

  3. Tap the ••• (three-dot menu)

  4. Tap Archive

  5. Tap Save to confirm


On Android:

  1. Open the Shopify app and go to Products > All products

  2. Select the product you want to archive

  3. Tap the (three-dot menu)

  4. Tap Archive product

  5. Tap to save


Finding and Unarchiving Products

To locate archived products:

  • In your Shopify admin, go to Products

  • Click the Archived tab

To unarchive a product:

  1. Click the product listed under the Archived tab

  2. Click Unarchive product to restore it to your active product list


Why This Matters

By archiving instead of deleting, you:

  • Maintain accurate historical records

  • Prevent missing or incorrect data in Retail Orbit

  • Keep your reports and planning tools running smoothly
