Troubleshooting Guide: Data Template Upload Errors in Retail Orbit

If you encounter an error when uploading your data template to Retail Orbit, follow these common troubleshooting steps:

1. Adjusted Headers (Row One)

Issue: The headers in row one have been modified.
Solution:

  • Download a fresh data template from Retail Orbit.

  • Copy and paste all data (excluding the headers) from your old template into the clean template.

  • Save the file.

  • Reupload the new file to Retail Orbit.

2. Missing Client Code in Column A

Issue: The client code is missing from Column A.


Solution:

  • Ensure a client code is included in Column A for each row of data.

3. Location Code Mismatch

Issue: The location code in your data file does not match the location code in Retail Orbit or is missing.


Solution:

  • Log into Retail Orbit.

  • Select your account and navigate to Profile > Locations.

  • Confirm the location code in Retail Orbit matches the location code used in the data file (e.g., "location 1" is not the same as "location 01").

  • Update the data file accordingly.

  • Ensure a client code is included in Column B for each row.

  • Save the file and reupload it to Retail Orbit.

4. Class Code Mismatch

Issue: The class code in your data file does not match the class code in Retail Orbit.


Solution:

  • Log into Retail Orbit.

  • Select your account and navigate to Profile > Classes.

  • Confirm that the class code in Retail Orbit matches the one in your data file (e.g., "TOP" is not the same as "TOPS").

  • Update the data file to reflect the correct class code.

  • Ensure a class code is included in Column C for each row.

  • Save the file and reupload it to Retail Orbit.

5. Incorrect Period Date Format

Issue: The Period Date in Column D is not formatted correctly.


Solution:

  • Ensure the period date is in YYYYMM format.

  • For example, data for March 1–March 31, 2025, should have 202503 in each row of Column D.

  • Save the file and reupload it to Retail Orbit.

6. Formulas in the Data File

Issue: The file contains formulas instead of static values.
Solution:

  • Copy the data and paste as values to remove formulas.

  • Save the file and reupload it to Retail Orbit.

7. Special Formatting Issues

Issue: Data includes special formatting such as currency symbols (e.g., "$").
Solution:

  • Remove all special formatting from the file before uploading.
