Understanding the structural limitations within Retail ORBIT® is crucial for ensuring accurate data entry, seamless reporting, and effective merchandise planning. Below are the key limitations and best practices for setting up Class Codes, Location Codes, and managing Reporting.

Class Code Limitations

  • Character Limit: Class codes are limited to 25 characters.
  • Recommendation: Use a 1-4 digit numeric code for the class code itself and utilize the Class Name field for the detailed class description.

Example:

  • Class Code: 1001
  • Class Name: W.Denim

Why it matters:

  • Ensures consistency in data entry and prevents errors due to code truncation.
  • Simplifies classification and helps with data validation.

Location Code Limitations

  • Character Limit: Location codes are limited to 9 characters.

Recommendation:

  • Use short, consistent abbreviations for each store location.

Example:

  • NYCFLGSH for New York City Flagship
  • AUSTIN01 for Austin Store #1

Why it matters:

  • Ensures location codes fit within system limits while maintaining clarity and consistency across your reports.

Reporting Limitations

For accurate and comprehensive reporting in Retail ORBIT®, pay attention to these key requirements:

  1. M1 Classes Must Have a Category

    • Every M1 (planned) class must be associated with a category, or it will not appear on reports.
  2. Child Classes Should Not Have a Category

    • Child classes should not be assigned a category but must be linked to a parent (planned) class to be included in reporting.

Example:

Class Type Class Code Class Name Category Parent Class
Planned Class 2001 Men’s Footwear Footwear N/A
Child Class 2001-SNK Men’s Sneakers Leave Blank 2001 (Footwear)
Child Class 2001-DRS Men’s Dress Shoes Leave Blank 2001 (Footwear)

Why it matters:

  • Ensures all planned classes are visible in reports.
  • Allows for detailed drill-down by parent and child classes while maintaining proper roll-up.

Key Takeaways:

  1. Class Codes – Limit to 25 characters; use a numeric system for clarity.
  2. Location Codes – Limit to 9 characters; keep abbreviations clear and consistent.
  3. Reporting – Ensure planned classes are linked to a category and child classes are assigned to a parent class.

By adhering to these best practices, you can maintain data integrity, ensure accurate reporting, and minimize errors in Retail ORBIT®.
