Overview
With the release of the new Retail Orbit Shopify App, there has been an update to how Current Month On Order is calculated.
This article explains:
- How Current Month On Order is determined
- Why certain purchase orders (POs) are included
- How to manage your POs to ensure accurate reporting
What is “Current Month On Order”?
Current Month On Order represents inventory that is expected to arrive within the current month and is still considered active.
How it’s calculated:
Retail Orbit includes any active Purchase Orders that meet the following criteria:
- Expected arrival date is within the current month, OR
- Expected arrival date is blank
The key factor: the PO must still be active (not archived)
Example
If today is April 21, 2026, the following POs would be included in April’s On Order:
- Expected date: (blank)
- Expected date: April 2026
- Expected date: a past date (still not received)
As long as the PO is active, Retail Orbit assumes the inventory is still coming.
How to Prevent Old or Unwanted Inventory from Appearing
If you have items that will no longer be received, you have two options:
Recommended: Archive the PO in Stocky
- Removes the PO from On Order calculations
- Does not delete the PO
- You can still access it later for reference
Alternative (More Manual)
- Remove the item from the PO, OR
- Set Qty Ordered = Qty Received
This will also stop the item from appearing as incoming inventory.
Will Archiving a PO Affect Receiving?
No.
Receiving in Retail Orbit is based on:
- Quantity received
- Date received
It does not depend on whether a PO is archived or active.
Important Considerations
- If a PO is still active, Retail Orbit assumes all remaining items are still coming, even if delayed
- Example: If 9 out of 10 items are received, the remaining 1 item will still be counted as On Order
Best Practices for Accurate On Order
To ensure the most accurate reporting:
- Archive POs that are no longer valid
- Keep POs up to date in Stocky
- Ensure both Retail Price and Cost Price are entered
On Order Calculation:
Price × (Qty Ordered – Qty Received)
This calculation applies to both Retail and Cost values.
