How to Validate Stockie Receiving and On Order

This article is for validating Receiving and On Order using the Stockie reports. The reports can be found once opening the Stockie App it is listed in the menu on the left (you may need to click 'View More' to see it).

 

Receiving:

The report for Receiving would be "Purchase Order Receipts" report. Once opened, click the icon on the top right of the report section to edit the columns:

Select the following Columns to be shown: Receipt Date, Quantity Accepted, Landed Unit Cost, Product Type, and Destination (for multi-location clients).

Export this report as an excel file.

This report will give you what you need to validate. Unfortunately there is no date filter, so you will need to filter based on receipt date to match the month you are looking for. And you can get extended Cost by multiplying Qty Accepted and Landed Unit Cost.  

 

On Order:

The report for On Order would be 'Purchase Order Line Items". Once opened, click the icon on the top right of the report section to edit the columns:

Select the following Columns to be shown: Qty Outstanding, Estimated Arrival, Ordered Cost (USD), PO Status, Product Type, and Destination (for multi-location clients). It does not show but the 'Unit Cost will export automatically.

Export this report as an excel file.

This report will give you what you need to validate. Unfortunately there is no filters for PO Status or Expected Arrival, so you will have to filter those in excel. For PO Status, you will need to filter to 'Ordered' and 'Partially Received' and for Expected Arrival, either match the month in the future or for current month include any overdue or null Expected Arrivals. You can get the extended Cost by multiplying the Qty Outstanding and the Unit Cost.

 

Validating Using Excel or Google Sheets:

Once you have filtered the data down to either your receiving date range or to the current on order items. You will have to get the extended Cost.

On Order: Qty Accepted * Landed Unit Cost

Receiving: Qty Outstanding * Unit Cost

Then it is recommended to use a  SUMIFS()function to sum all the extended cost for each Product Type (and month for On Order).

=SUMIFS(sum_range, criteria_range1, criteria1, [criteria_range2, criteria2]...)
